Privacy policy
Last updated: October 26, 2026
This policy explains how Klinicbase processes the personal data it collects on klinicbase.com, in accordance with Panama’s Law 81 of 2019 on personal data protection and its regulations. Patient data that clinics manage inside the Klinicbase system is governed by each clinic’s contract, not by this policy.
Controller
The data controller is Klinicbase, based in the Republic of Panama. For any question about your data, write to hola@klinicbase.com.
What data we collect
- Contact and demo forms: your name, your clinic’s name, your email, your phone (optional), the number of locations (optional), the modules you are interested in (optional) and your message (optional).
- Bot verification: Cloudflare Turnstile analyzes technical browser signals to confirm a person is submitting the form.
- Language preference: a first-party cookie remembers whether you prefer the site in Spanish or English.
- Analytics: only if you accept it, Google Analytics for Firebase records aggregate site usage (page views, device and approximate country).
How we use it
We use form data only to answer your request, arrange a demo and send you information about Klinicbase. Each request triggers an internal email notice to our team. We do not sell your data or share it with third parties for their own purposes.
Legal basis
We process your data with your consent, given when you tick the form checkbox or accept analytics. You may withdraw it at any time.
How long we keep it
We keep form data while we are in contact with you and for at most 24 months after your last contact if no business relationship follows. Then we delete it.
Who processes it
We rely on providers that process data on our behalf (Google Cloud, Cloudflare, Google Workspace and Resend). The full list, with what each one does, is on the subprocessors page. These providers may process data outside Panama, particularly in the United States, under security measures and contracts that protect your information.
Your rights
You may request access, rectification, deletion or objection to the processing of your data, and its portability, by writing to hola@klinicbase.com. We will respond within the time limits set by law. If you are not satisfied with our answer, you may contact Panama’s National Authority for Transparency and Access to Information (ANTAI).
Security
Requests travel encrypted, are stored in a database with no public access and are only accessed by the Klinicbase team.
Changes
If we change this policy, we will publish the new version on this page with its update date.
